FAQ and help

Short answers to the questions each kind of user asks most, and how to reach us.

Engineering team

We are a new firm. Where do we start?

With Onboarding your firm. A new firm starts on the Ad Hoc workflow: leads, engagement letters signed online, projects with a scope and fee, delivery and invoicing.

Can we get the foundation remediation workflow?

Yes. It is set up for your firm together with Structra’s team, because it is built from your own templates, checklists and client structure. See Integrated workflows.

Can a client see my internal notes?

No. Tick Internal only — not visible to clients before you press Add Comment, and the note stays inside your organization. The box unticks itself after each comment, so tick it every time. See Internal notes.

If I @-mention a client on an internal note, do they see it?

No. With the box ticked, the mention list does not offer the client’s people, and the note stays internal.

Does an @-mention tell the person?

Yes. They get an on-screen message, a notification under the bell that opens the project’s comments, and an email straight away. See What a mention does.

I approved a project in triage. Where did it go?

To the Design tab. Structra sets up the design, then the project waits at In Drawing Queue. See Design setup.

A project is waiting at Team Needs Assigned. How do I move it on?

It was approved with no engineer. Open Manage Team on the project, add an engineer and save. It moves on by itself. See Assign or change the team.

Why does triage warn me about calculations?

Structra checks the property address against city limits where calculations are required for a permit. Kansas City, Missouri is set up today. It warns when the address is inside and calculations are off. It never blocks an approval. See The calculations address check.

What does the client get when I push a project back?

An “Action Needed” email with your name, your reason and a link. The project returns to Intake as Project Issue Waiting On Client. Write the reason for the client. See Push back.

A project shows Initial Spooling Failed. What do I do?

Fix the cause, then set the sub-status to Ready for Design Setup to run setup again. See Design setup.

The reviewer requested changes. How do I get the drawing back?

On the project’s card, press View Feedback to read the reviewer’s comments. Fix the drawing, then press Revise & Resubmit and submit the checklist again. See Revise after a review.

Where do I sign and seal a report?

In Bluebeam. Structra builds the report and files it in the project’s folder. You seal and sign that file, save it back under the same name, and Structra delivers it. See Sign and seal the report.

When does the client get the report?

When you set Design Finished. The client’s admins are emailed the report as a PDF. See Finish and send the report.

Why did a project skip inspection?

Engineer Inspection Required was not ticked at intake. See Which projects are inspected.

Who can cancel a project, and what happens?

When an Organization Admin cancels, the project is cancelled at once. When anyone else asks, it is a request that an Organization Admin approves or denies. An approved project ends as Project Canceled. A denied one goes back to the status it had. The client’s admins are emailed the outcome, without any amount billed. See Cancel a project.

An inspection was rejected. How does it come back?

The client corrects the details and presses Resubmit for Verification. Your staff can press it too. The project returns to Inspection Verification Needed. See After a rejection.

Does a foreman need an email address?

Yes. Email is required when you add a foreman, and they are sent a welcome email. See Add a foreman.

How do I stop a client’s office creating projects themselves?

On the client page, edit the client and turn off Project Creation. It hides New Project for that client’s users only. See Let a client create projects, or not.

I edited the engagement letter template. Did letters already sent change?

No. Each save is a new version, and a letter keeps the version it was made from. See Set up your engagement letter.

Can I download or add files on a project?

Yes. On the project’s Files tab, download one file or press Download All, and press Upload to add one. A file you upload there is visible to the client. See Files.

Does voiding an invoice in Structra void it in QuickBooks?

No. Void it in QuickBooks as well. See Void an invoice.

Why can I not see Analytics or Billing?

They are for Organization Admins. See What each role can do.

Client admins

Can I see the engineering firm’s internal notes?

No. You see the comments the firm writes to you, and nothing it marks internal. See What you can and cannot see.

Why can I not pick today as the due date?

A client cannot ask for same-day work. Before midday the earliest date is tomorrow. From midday on, it is the day after. See Choose a due date.

My project was pushed back. Where is the reason?

In the “Action Needed” email, on the project’s Overview, and in its comments. See Answer a push-back.

I am an Office user. Why do I not get the report email?

The automatic project emails, the report among them, go to Client Admins. An Office user is emailed when someone mentions them in a comment. Download the report from the project instead. See Download it from the project.

Why were Add Calculations and the inspection box ticked for me?

The address on the inspection form is inside city limits where calculations are required for a permit. Structra ticks the boxes and says why. You can untick them; nothing is blocked. See The calculations address check.

Can I see what a project costs?

The project’s Billing tab shows that project’s amount once the engineering firm has finalized its invoice. Until then it is empty. See What you can and cannot see.

Can I change a project after it is approved?

Yes, with Change Request. It needs a Change Order Form and sends the project back through triage. See Change a project after it is approved.

Can I cancel a project?

You can ask to, while it is in Intake or Design. The firm decides, and the decision is emailed to the person who asked and to your Client Admins. See Ask to cancel a project.

The firm rejected our inspection details. What now?

Open the project and read the Engineer’s notes. Press Edit Inspection Info, correct the details, save, then press Resubmit for Verification. See If the firm rejects them.

Do I upload an inspection form if a field inspector started the job?

No. Structra creates it from the inspector’s answers. See When a field inspector starts the project.

We have no New Project button. Is something wrong?

No. Your engineering firm can turn it off for your company, so that projects start from a field inspector’s intake. See If you have no New Project button.

Field inspectors

Do I have a password?

No. You sign in at the inspector portal with a code sent to your email. See Sign in with an emailed code.

I registered but no code arrives. Why?

Your Client Admin has not approved you yet. Ask them to check their pending requests. See Get access.

How long does a sign-in code last?

Ten minutes, and it works once. A new code replaces the old one.

Does the form work without signal?

Once a draft is open you can keep filling it in. The label reads Not saved, your answers are kept on the phone, and the form saves by itself when the signal returns. Files are different: upload them again once you have signal. See Working with weak signal.

What files can I upload?

Photos as JPG, PNG or PDF. The sketch and the contract as PDF. See Notes & Files.

Where does my submission go?

To your company’s office, as a project in Intake. Your Client Admins get an email. See Where your submission goes.

Can I change a project after I submit it?

No. Tell your office. Do not submit it a second time. See After you submit.

How to get help

Email support@structra.tech. To help us answer the first time, include:

  • Your company name and your role.
  • What you were trying to do.
  • What happened instead, with a screenshot if you can.
  • The job number, if it is about one project.

In the app, the circled “i” at the top right opens this guide. If you work for a client company or as a field inspector, your engineering firm or your own Client Admin can often answer faster than we can.

Words you do not recognize are in the Glossary.
